Occasionally you may find yourself, for whatever reason, in a position where you have to manually recover a mailbox using Outlook. Luckily, OST files makes this possible \u2013 they provide offline folders that are essentially replicas of the master server based folders from which you can synchronize with the Exchange server itself.<\/p>\n

In this guide we will show you how to easily recover a mailbox using OST file<\/a> in two different scenarios.<\/p>\n

Scenario 1: When the original Microsoft Exchange profile was not modified<\/p>\n

In this case, you can start the Microsoft Exchange client offline with the old OST file. This way you can recover the data by moving the messages from the OST to a PST file.<\/p>\n

Here are the steps to recover:<\/p>\n

  1. Start the Exchange Email Client (Outlook) Offline.<\/li>\n
  2. Go to the File menu and select Open & Export, and then click on Import\/Export.<\/li>\n
  3. In the import and export wizard, select the \u201cexport to a file\u201d option.<\/li>\n
  4. Then select Outlook data file (.pst).<\/li>\n
  5. Select OST folders that you want to copy, and then click next.<\/li>\n
  6. Browse the location where you want to save the recovered data, and then click the finish button.<\/li>\n<\/ol>\n

    The messages are exported to the newly created PST. After this, you can copy and import the messages from the PST back to the server-based mailbox.<\/p>\n

    Scenario 2: If the original Microsoft Exchange profile was deleted, modified or lost<\/p>\n

    In this case, any accidental deletion of Exchange Server mailbox or any modification to the Exchange profile will orphan the Outlook OST file. This orphaned OST file is useless as it cannot be synced to extract information.<\/p>\n

    The only possible way is to recreate synchronization between Microsoft Exchange Server and outlook OST through the unique MAPI address.<\/p>\n

    1. Connect Outlook with the original MAPI<\/li>\n
    2. Connect the MAPI address to original Microsoft Exchange Server.<\/li>\n<\/ol>\n

      If you are dealing with old OST files or Exchange corruption, having the original MAPI address is highly unlikely. Similarly, if the OST file itself is in a bad or corrupt state, then it\u2019s almost useless.<\/p>\n

      Conclusion<\/p>\n

      Recovering a mailbox from an OST file<\/a> can be an easy process to do natively if the situation is a straight forward one. However, if you\u2019re looking at a more complex environment or are having difficulty with the Exchange server or OST files themselves then it may make more sense to deploy Exchange Recovery Software.
