How to Move G Suite to Another Account: A Step-by-Step Guide

Whether you’re rebranding your business, consolidating teams, or simply moving to a new Google Workspace (formerly G Suite) account, transferring data and settings between accounts is a critical task. Unfortunately, Google doesn’t offer a one-click solution to move all G Suite data between accounts. But don’t worry—this blog will walk you through the available methods to safely migrate your emails, Drive files, contacts, calendars, and more from one G Suite account to another.

Why You Might Need to Move G Suite to Another Account

  • Company merger or acquisition
  • Domain change or rebranding
  • Restructuring user accounts
  • Separating personal and professional data

Before You Begin

  1. Admin Access: Ensure you have administrator access to both the source and destination Google Workspace accounts.
  2. Data Scope: Identify what needs to be migrated (emails, Drive, Contacts, Calendars, etc.).
  3. Backup: Always back up your data before migration, in case anything goes wrong.

Methods to Move G Suite Data

1. Use Google’s Native Tools (Manual)

✅ Gmail (Emails)

Option A: Mail Fetcher (POP3)

  1. Sign in to the destination account’s Gmail.
  2. Go to Settings > Accounts and Import > Check mail from other accounts.
  3. Click Add a mail account.
  4. Enter the source account’s email address and complete the setup using the POP3 settings.

Option B: Google Takeout

  1. Sign in to the source account.
  2. Visit Google Takeout.
  3. Export emails in .mbox format.
  4. Use tools like Thunderbird to import .mbox to the new account.

Google Drive (Files)

Option A: Shared Drives (Business Standard or higher)

  1. Create a Shared Drive in the destination account.
  2. Share it with the source account as a Manager.
  3. Move or copy files to the Shared Drive.

Option B: Manual Sharing & Copy

  1. Log in to the source account.
  2. Select all files in Drive and share with the destination account (as Editor).
  3. Log into the destination account, open “Shared with me”, and Make a copy of each file.

Google Contacts

  1. In the source account, go to Google Contacts.
  2. Select contacts > Export as .csv.
  3. In the destination account, go to Contacts > Import the .csv file.

Google Calendar

  1. Go to Google Calendar in the source account.
  2. Click the gear icon > Settings > Import & Export > Export.
  3. Download the .ics file.
  4. In the destination account, go to Calendar > Import and upload the .ics file.

2. Use Google Workspace Migration Tools

Google Workspace Migration for Microsoft Exchange (GWMME)

  • Supports mail, calendar, and contacts migration.
  • Requires installation and is suited for bulk migrations.

Google Workspace Migrate (Advanced)

  • For large enterprises and complex migrations.
  • Requires technical setup, typically used by IT teams.

3. Use Third-Party Tools

There are many reliable third-party tools to automate and simplify the process:

  • CloudM
  • SysTools G Suite Migrator
  • Spinbackup
  • MultCloud
  • Migrate Google Workspace by Google Cloud Partners

These tools support:

  • Bulk user migrations
  • Scheduled migrations
  • Better reporting and support

Note: Most of these are paid tools, but they’re ideal for large-scale or ongoing migrations.

Best Practices

  • Migrate during off-peak hours to minimize disruption.
  • Test with a few user accounts before full-scale migration.
  • Communicate with your team to avoid confusion.
  • Document the migration steps and any issues encountered.

Final Thoughts

While Google doesn’t yet offer a native, all-in-one migration solution for G Suite accounts, you can still transfer your data efficiently using a combination of manual and automated methods. If you’re a small team, manual options might be enough. For larger organizations, investing in a professional migration tool or service is worth the time and peace of mind.
